The problem

Zoho CRM locks one email to one contact.

The unique-email constraint on the Contacts module exists for a good reason — it stops accidental duplicates. But it also assumes every person belongs to exactly one company, and plenty of them don’t.

A consultant serving four clients. A channel partner representing several firms. A procurement lead who signs for three subsidiaries. Each is a legitimate contact under more than one account, and Zoho refuses the second record.

  • Fake email variants. Teams resort to name+account@ addresses, which silently break email sync and communication history.
  • Orphaned activity. Calls, meetings, and campaign responses land on whichever record happened to be created first.
  • Unreliable reporting. Account-level engagement numbers stop reflecting who was actually contacted.

Alias Contact creates a linked alias record under the second account instead of asking anyone to invent a new address. The person’s real email stays on every copy, and each alias points back to the original.

How it works

Four steps, and the record is already linked.

The whole flow lives inside the Contacts module. Nobody has to leave the record, open settings, or remember a naming convention.

Open the contact

Start from the Contacts list view or the record itself and click Alias Contact.

Behind it — the widget loads the current record and resolves its root parent before anything else runs.

Find the account

Search by name and pick the account this person should also belong to.

Behind it — a live account search, so the alias is always attached to a real record rather than a typed string.

Create the alias

One click. The alias is written with the parent’s real email and tagged with the account name.

Behind it — duplicate checking is briefly relaxed for this write, then restored immediately afterwards.

Work from either side

The alias sits under its new account; the original shows every alias in its related list.

Behind it — a Parent Contact lookup keeps the relationship queryable in views, filters, and reports.

Under the hood

A flat parent–child model, on purpose.

The hardest design decision wasn’t creating the alias — it was deciding what happens when someone creates an alias of an alias. A chain would make “which record is the real person?” unanswerable, so the model stays exactly one level deep.

Data model

Parent Contact lookup

A single lookup field carries the relationship, so it works everywhere Zoho already understands lookups — list views, filters, related lists, and reports. No custom join table, no parallel store.

Resolution

Root-parent walk

When the widget opens on a record that already has a parent, it follows the lookup to the original before creating anything. Starting from an alias produces a sibling, not a grandchild.

Write path

Scoped duplicate-check window

The unique-email rule is relaxed only for the duration of the alias write, then restored. If the restore call fails, the extension surfaces the failure instead of leaving the org silently unprotected.

Identification

Account-name tagging

Each alias is labelled with the account it belongs to, so a list view full of same-named people is still readable at a glance and search stays useful.

In many businesses the same person is a legitimate contact under more than one account — a consultant serving multiple clients, a partner representing several firms, or a decision-maker across subsidiaries. Zoho CRM’s unique email constraint on the Contacts module blocks this, forcing teams into workarounds like fake email variations that break email sync and reporting.

This extension solves it cleanly. From the Contacts list view, select a contact, choose the account to associate them with, and create the alias in one click — with the person’s real email address intact.

How it works: open any contact from the Contacts list view, click Alias Contact, search and select the target account, and click Create. The alias contact appears under that account, linked to the original.
